Please read these booking terms carefully. By asking us to confirm your booking, you confirm that you have read and understood them, along with the day to day demands of your chosen itinerary, and agree to be bound by them.
Paid by card or bank transfer when you commit to your journey. The deposit is non-refundable.
The remaining 70% is due at least 14 days before your arrival date.
Cancellations take effect from the day we receive them in writing.
We strongly recommend travel insurance from the moment you book.
References to "us", "we", "our", "Orient Charm" and "Orient Charm Travel" mean Orient Charm Travel, including our subsidiaries. "You", "your", "client" and "customer" mean all persons named on the booking, including anyone added or substituted later, or any of them as the context requires. "Tour", "holiday", "package", "booking", "contract" and "arrangements" mean the holiday arrangements, unless stated otherwise.
These terms apply to bookings made with our travel consultants by phone or email, as well as bookings made on our website.
We offer confidential rates based on market research, competition analysis, negotiation and detailed knowledge of each season in each destination. These rates are offered on the condition that they are not shown to third parties in any way. Rates are quoted in US dollars only and, unless otherwise specified, are net and non-commissionable.
Prices published on our website are based on costs at the time of publication. We reserve the right to change published prices at any time before your booking is made.
Hotels and suppliers in the region may require us to follow a Recommended Retail Price (RRP) or Suggested Selling Price (SSP), which we will communicate to you where required.
Unless otherwise specified, hotel rates in our confidential tariff are per room per night and include all applicable charges and taxes; tour and transfer rates are per person and include all applicable charges and taxes. Services outside our confidential tariff are offered case by case.
Many hotels include compulsory Gala Dinners on Christmas Day and New Year's Eve, and sometimes on national or other festive occasions. This is a compulsory charge, which we will communicate and invoice where applicable.
Unless otherwise specified, all quoted rates include applicable taxes, including service charges, Value Added Tax and local taxes. Domestic tourism taxes and airport taxes may apply and are not included; these are paid directly to the relevant authority by the traveller.
If a government changes its taxes, we reserve the right to adjust the rates accordingly. We will work to avoid this, but we reserve the right to collect any resulting difference from each client.
A deposit of 30% of the total tour cost is due when you commit to the tour, and this deposit is non-refundable. It can be paid by credit card (your travel consultant will send you a secure online payment link) or by bank transfer, and is required to confirm your booking.
Pre-payment arrangements in high and peak seasons may vary depending on each hotel's policy; we will let you know for each booking.
The remaining balance (70%) is due at least 14 days before your arrival date. For urgent bookings, full payment is required. Additional fees may apply, and we will advise case by case.
We accept Visa, Mastercard and American Express debit and credit cards. Please ask your travel consultant for the secure online payment link.
A 3% convenience fee applies to Visa and Mastercard payments and 4.5% to American Express. As our head office is in Vietnam, card-issuing banks may charge a fee on each foreign transaction, and we are not responsible for such fees. This fee is never hidden in our quotation.
Your travel consultant will send you the full details.
You may cancel your booking at any time, provided the cancellation is sent to us in writing. It takes effect from the date we receive it. Once deposits are paid they are non-refundable, and the cancellation charges below also apply. We strongly recommend suitable cancellation insurance from the time of booking.
For cancellations more than 21 days before departure, the deposit covers the administration of advance arrangements. Any remaining amount stays valid for one year (365 days) from the date the deposit was received and can be used for other tours and services; after one year it is forfeited.
We aim to run all tours as advertised, but because we plan many months in advance, we may occasionally need to make changes or cancel your booking, and we reserve the right to do so at any time. We will tell you as soon as possible about any significant change. In that case we will, where possible, offer you three alternatives:
Once you have paid in full, we will only cancel if circumstances beyond our control make it unavoidable (see Force Majeure below). If this happens, we will contact you immediately and offer equivalent services or a full refund of all money paid. No compensation is payable beyond the total amount received from you.
No refunds or exchanges can be made for accommodation, meals, sightseeing, transport or any other services included in the tour price but not used.
A valid passport is required at all times for travel to and from the countries where we operate. Passport validity rules and other travel document requirements are available from the embassy or consulate in your home country. For most countries, your passport must be valid for at least six months from the date of entry, with at least two blank pages.
Some countries also require a visa. Depending on the country, visas can be obtained before departure or on arrival at immigration or a visa desk. Your travel consultant, or the embassy or consulate in your home country, can give you full details for each destination.
We strongly recommend that you take out travel insurance in your home country, covering you before and during your travels. Neither Orient Charm Travel nor our agents, suppliers or partners can be held responsible for lost, damaged or stolen personal belongings.
Health and safety is our top priority when choosing products and providing services. Our guides encourage all clients to follow the safety rules for every service. We check hotels, restaurants and other suppliers against our health and safety standards before recommending them.
Neither Orient Charm Travel nor our representatives will be responsible for any illness, injury or death on your trip, except where it is caused by our negligence or that of our representatives, and we are not liable for any uninsured loss of personal property.
Few hotels and resorts have standard triple rooms. Triples are usually double or twin rooms with an extra rollaway bed, which limits space, so please let everyone travelling know. Extra bed and triple sharing rates are available in our confidential tariff.
Single supplements are shown in our confidential tariff; single rooms are usually twin or double rooms for single use.
Preferences such as smoking or non-smoking, interconnecting rooms, king-size beds and room location cannot be guaranteed in advance and depend on hotel policy and availability at check-in.
Not every property we use in the region holds an official star rating from a government-accredited hotel association. We therefore give our own internal rating, based on our experience and set criteria, to help you understand the standard. We cannot be held liable in any way for this rating.
We arrange sightseeing and transport as contracted, in a professional manner. English, Italian, Spanish and other language-speaking guides accompany clients on all tours as set out in the itinerary. Tours include entrance fees and the meals mentioned, excluding drinks and other expenses not listed in the inclusions. All services provided by Orient Charm Travel, our staff and agents are of the highest possible standard. All guides are licensed and will demonstrate any safety equipment and explain any safety risks before an activity begins.
Unless stated otherwise, transfers in each destination follow the rates in our tariff. Transfers include a meet and greet with a name sign and transport as set out in your itinerary.
Where possible, we use coaches and cars on long-term contracts. Road and water transport is operated by fully licensed drivers and operators in line with local safety standards. Vehicles are maintained to the manufacturers' specifications, kept clean and in good working order, and properly registered and insured. Boats are of a similar standard, with life jackets provided for every client.
Transport standards differ between destinations, and we are committed to the best transport available in each area.
We cannot be held responsible for missed connections on transport you have booked independently of Orient Charm Travel.
Local boutiques and markets can be great fun, and many copies of international brands are sold very cheaply. However, Orient Charm Travel and our staff are neither qualified nor permitted to guarantee the quality or value of any goods purchased, the suitability of any shop visited, or the security of paying by card there. All purchases, and the use of a card for them, are entirely at your own risk and discretion. Activities during free time are also at your own discretion.
A dedicated Customer Care team handles any service issues while you are travelling, and we welcome complaints as valuable feedback. Please report any service failure or concern during your trip to one of our representatives, such as your travel consultant or our Managing Director, so we can resolve it straight away. If you do not tell us in writing within 14 days of the end of your tour, our ability to investigate may be affected.
All Orient Charm Travel offices, subcontracted suppliers and service providers comply with the licence and permit requirements of each country in which we operate.
Neither party is in breach of its obligations to the extent that performance is delayed or prevented by causes beyond its reasonable control, including but not limited to acts of God, natural disasters, the bankruptcy of a supplier, strikes and other labour disputes, acts of war, civil disturbance, or other comparable events.
This agreement is governed by the laws of Vietnam (and/or the laws applicable to the country in which it is legally represented) in force at the time. The parties agree to refer any dispute under this agreement to arbitration under the rules of the relevant arbitration institute in force when the dispute is submitted, with the arbitration conducted under that institute's authority.
We act as an intermediary between airlines, hotels, local tourist offices and other service providers, and therefore reserve the right to modify tours and itineraries with or without notice. Our tours are organised around the airlines' scheduled flights, so itineraries and timings are provisional and may change without notice. These conditions are accepted once you take part in any service arranged through Orient Charm Travel.
These Terms & Conditions are valid at the time of publication and may change without prior notice. Any changes will be posted on this website straight away.
